Our privacy policy and how we use your data

1. Introduction

Vidgram, Inc. (“Vidgram,” “we,” “us,” or “our”) operates a B2B software platform that enables sales teams to create and deliver AI-personalized video messages through LinkedIn. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our website, web application, Chrome extension, and related services (collectively, the “Services”).

By accessing or using the Services you agree to the practices described in this policy. If you do not agree, please discontinue use of the Services.

Vidgram is headquartered in California. This policy is designed to comply with the California Consumer Privacy Act of 2018 as amended by the California Privacy Rights Act of 2020 (CCPA/CPRA) and other applicable privacy laws.

2. Who This Policy Covers

This policy applies to:

  • Customers — businesses and individuals who purchase or use the Services.
  • Users— employees or contractors of customers who access the Services on the customer's behalf (e.g., sales representatives, revenue operations managers).
  • Visitors — anyone who visits our website or marketing pages without creating an account.

Customers may use the Services to send personalized videos to their own prospects and contacts (“End Recipients”). Vidgram processes End Recipient data solely as a data processor acting on the customer's instructions. Customers are solely responsible for ensuring they have a lawful basis to process End Recipient data through the Services and for providing any required notices to End Recipients.

3. Information We Collect

3.1 Account and Identity Information

When you register, we collect your name, business email address, company name, job title, and password credentials. We also collect billing contact information submitted during checkout.

3.2 Video Content

Users record base videos through the Services or upload existing recordings. These videos are stored on Vidgram's infrastructure and processed to produce personalized output videos delivered to prospects. Output videos may depict the user's likeness.

Video content is retained for the duration of your subscription and for a reasonable period thereafter in accordance with Section 8 (Data Retention) below. You may request deletion of your video content at any time through the account dashboard or by contacting privacy@vidgram.ai.

3.3 LinkedIn and Prospect Data

Our Chrome extension accesses LinkedIn page content solely while you are actively using the extension within a LinkedIn session. This includes publicly visible profile information on pages you navigate to — such as name, job title, company, and industry — that you have directed the extension to use for video personalization.

The Chrome extension does not collect your LinkedIn browsing history, access pages you have not navigated to during an active session, read LinkedIn messages or private data outside the scope of the active page, or transmit any data without a user-initiated action.

Prospect data entered manually into the Services or imported by the customer is processed on the customer's behalf. Customers represent and warrant that they have collected such data through lawful means and hold a valid basis to use it for sales outreach.

3.4 Video Engagement Data

When End Recipients view videos delivered through the Services, we may collect engagement signals — such as whether and when a video link was opened or a video was played — through tracked delivery links. This data is attributed to the customer's outreach campaign and surfaced to the user who sent the video. End Recipients are not required to create an account to view a video.

3.5 Usage and Technical Data

We automatically collect certain technical information when you use the Services, including:

  • IP address, browser type and version, operating system.
  • Pages visited, features used, session duration, and clickstream data.
  • Chrome extension activity logs, limited to actions taken within the extension itself.
  • Error logs and performance data used to diagnose and fix issues.

3.6 Payment Information

Payment card and billing details are collected and processed by Stripe, Inc., our third-party payment processor. Vidgram does not store full payment card numbers. We retain transaction records (amount, date, subscription plan) for accounting and fraud prevention purposes.

3.7 Communications

If you contact us by email or through support channels, we retain records of those communications to resolve your inquiry and improve our support quality.

4. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Services.
  • Generate AI-personalized video scripts using prospect data provided by the customer.
  • Process video content and deliver output files to users through the Services.
  • Track video engagement signals on behalf of customers.
  • Manage subscriptions, process payments, and send billing communications.
  • Send transactional and product communications, such as usage alerts and feature updates.
  • Respond to support requests and troubleshoot issues.
  • Detect, investigate, and prevent fraudulent or unauthorized use.
  • Comply with applicable legal obligations.
  • Improve and develop the Services using aggregated, de-identified analytics data that cannot reasonably be linked back to any individual.

We do not use personal information for cross-context behavioral advertising, sell data to data brokers, or share data with third parties for their own independent marketing purposes.

5. How We Share Information

We do not sell your personal information. We share information only in the following circumstances:

5.1 Service Providers

We engage sub-processors who handle data on our behalf under contractual data processing agreements, including providers in the following categories:

  • Cloud infrastructure — hosting, database, and storage providers (including Vercel, Supabase, and Cloudflare).
  • Video processing — providers used to process and stitch video content on your behalf.
  • AI script generation — AI model providers used to generate personalized video scripts.
  • Payment processing — Stripe, Inc.
  • Customer support tooling — email and ticketing providers used to manage support communications.

5.2 Customer Administrators

If you use the Services as part of a team account, your customer's account administrators may have access to your usage data, campaign activity, and engagement metrics within their organization's workspace.

5.3 Legal Compliance and Protection

We may disclose information when we believe in good faith that disclosure is:

  • Required by applicable law, regulation, or valid legal process.
  • Necessary to protect the rights, property, or safety of Vidgram, our customers, or others.
  • Necessary to detect, prevent, or address fraud or security incidents.

5.4 Business Transfers

In the event of a merger, acquisition, financing, or sale of all or a portion of our business, personal information may be transferred as part of that transaction. We will notify you via email or a prominent notice within the Services before your information becomes subject to a different privacy policy.

6. Chrome Extension — Specific Disclosures

The Vidgram Chrome extension is designed to operate exclusively within LinkedIn and the Vidgram web application. Specifically:

  • The extension reads content from LinkedIn pages only when you initiate an action within the extension (e.g., triggering personalized video generation for an open profile).
  • The extension does not run in the background when LinkedIn is not open, does not track pages you visit outside a user-initiated workflow, and does not access your LinkedIn inbox, connections list, or account credentials.
  • Data read from LinkedIn by the extension is transmitted to Vidgram's servers solely to fulfill the video personalization request you initiated. It is not retained beyond what is necessary to complete that request unless you explicitly save it as part of a campaign.
  • We do not scrape LinkedIn data in bulk or in any manner that violates LinkedIn's User Agreement.

The Chrome extension complies with Google's Chrome Web Store developer program policies, including the Limited Use policy for data obtained via Chrome extension APIs.

7. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the following rights with respect to your personal information:

7.1 Right to Know

You may request disclosure of the categories and specific pieces of personal information we have collected about you, the sources from which it was collected, the business purpose for collecting it, and the categories of third parties with whom we share it.

7.2 Right to Delete

You may request deletion of personal information we have collected from you, subject to exceptions permitted by law (such as information required for legal compliance or fraud prevention).

7.3 Right to Correct

You may request correction of inaccurate personal information we maintain about you.

7.4 Right to Opt Out of Sale or Sharing

We do not sell personal information or share it for cross-context behavioral advertising as defined under the CPRA. No opt-out action is required, but you may contact us to confirm our practices at any time.

7.5 Right to Limit Use of Sensitive Personal Information

To the extent we process sensitive personal information (such as video content depicting your likeness), you have the right to request that we limit our use of such information to what is necessary to perform the Services.

7.6 Right to Non-Discrimination

We will not discriminate against you for exercising any California privacy right. Exercising your rights will not result in denial of the Services, different pricing, or a lower quality of service.

7.7 How to Submit a Request

Contact us at privacy@vidgram.ai. We will respond within 45 days of receiving a verifiable consumer request and may need to verify your identity before processing it.

If you are an employee or contact of one of our customers and wish to exercise rights over data that customer has processed through Vidgram, please contact that customer directly. Vidgram will assist customers in fulfilling such requests as required by law.

8. Data Retention

We retain personal information for as long as necessary to:

  • Provide the Services for the duration of your active subscription.
  • Comply with legal, tax, and accounting obligations (generally up to seven years for financial records).
  • Resolve disputes or enforce our agreements.

Following account termination or subscription cancellation, we will delete or de-identify your personal information within 90 days unless a longer retention period is required by law or you request earlier deletion. Campaign data and engagement analytics may be retained in aggregated, de-identified form beyond this period.

9. Data Security

We implement industry-standard technical and organizational measures to protect personal information from unauthorized access, disclosure, alteration, or destruction, including:

  • Encryption of data in transit (TLS) and at rest.
  • Row-level security controls on our database infrastructure to enforce strict tenant isolation between customer accounts.
  • Access controls limiting employee access to personal data on a need-to-know basis.
  • Regular review of third-party sub-processor security practices.

No method of electronic storage or transmission is 100% secure. In the event of a data breach affecting your personal information, we will notify you and applicable regulators as required by law.

10. Cookies and Tracking Technologies

Our website and application use cookies and similar technologies to maintain session state, remember your preferences, and collect analytics data:

  • Strictly necessary cookies — required for authentication and core application functionality and cannot be disabled.
  • Analytics cookies — used to understand how the Services are used in aggregate. You may opt out via our cookie preference center or by enabling a Do Not Track signal in your browser.

We do not use third-party advertising cookies or share cookie data with advertising networks.

11. Children's Privacy

The Services are intended solely for use by business professionals and are not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact privacy@vidgram.ai and we will promptly delete it.

12. Third-Party Links and Services

The Services may contain links to third-party websites or integrate with third-party platforms such as LinkedIn. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party services you use in connection with Vidgram.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Services, or applicable law. If we make material changes, we will notify you by email or through a prominent notice within the Services at least 30 days before the change takes effect. Your continued use of the Services after the effective date constitutes acceptance of the updated policy.
